Happy Summer!

Greetings from the Student Activities Staff! We hope you are enjoying your summer. While August seems far away, please keep the following action items and updates on your radar for successful operations this Fall!

TLDR Deadlines

  • July 20, Aug. 8, Sept. 7 – 25Live tag updates, update via MyWPI reregistation process
  • Early/ Mid August – 25Live opens for fall requests
  • August 19 – Student Activities Fair, 3-5pm, sign up below
  • August 27 – Treasurer update deadline and final day to change treasurer through re-registration for A-Term

October 1 – Re-registration due

Club reregistration starts now!

Organizations are now automatically assigned annual re-registration in MyWPI. Officers will see a blue banner at the top of their officer/admin page.

Important: Clubs wishing to change their treasurer must complete re-registration by August 27 at 11:59 p.m.

Re-Registration Requirements

Organizations must:

  • Enter officers and advisors annually.
    • Officers and advisors must accept their appointments via the link provided from MyWPI to your email.  Tip: Can't find the email? Check your spam.
  • Have Core Four officers complete Anti-Hazing compliance requirements in MyWPI.
  • Confirm or request storage space and identify authorized users.
  • Upload a current constitution.

Re-registration opens July 1 and must be completed by October 1.

Note: Organizations are not considered compliant until all requirements are complete. Early submission helps ensure uninterrupted access to resources such as club accounts and 25Live.

SAO Activities Fair

Sign up to host a table for the Student Activities Fair during New Student Orientation. 

Save the date:

August 19, 3-5pm Quad, weather date, August 20, 3-5pm Quad


Registration comes with a table and two chairs.  Groups are responsible for providing all table decor and advertisements on their table.  Register by August 10 at 11:59pm.
Money

Financial Updates:

NEW Funding Source Tag Updates

To improve fund tracking, all transactions charged to 1125-CC now require a Tracking Worktag in Workday.

Select one of the following:

  • SGA Budget – Annual SGA allocation
  • SGA Funding Request – Approved supplemental SGA funding
  • Student Org Legacy Funds – Fundraising, donations, and other organization-held funds

Transactions cannot be submitted without a Tracking Worktag. Contact the Student Activities Office with questions.

Treasurer Update Deadlines

Treasurers must:

  • Be updated in MyWPI by:
    • August 27
    • October 14
    • December 15
    • March 10
    • May 7
  • Be physically on campus
  • Not hold another Core Four officer position


Club Budgets and Spending for FY27

July 1: Start of FY27

  • Budgeted organizations may begin spending approved FY27 funds.*
  • Organizations may submit SGA funding requests for FY27. Requests will be reviewed once classes resume.

Mid-July: Budget Rollback

  • Unspent FY26 budget funds will be returned to SGA.

Early August

  • FY27 budgets will be loaded into club accounts.

*If your organization has an approved FY27 expense that must be paid before budgets are loaded, you may proceed with the purchase. Approved budget details are available under the Money tab in MyWPI.

Unless a club has a documented exemption acknowledged by the federal government, all clubs are required to offer membership opportunities to all students who have an interest in the club’s given topic. There are no restrictions based on identity, background, beliefs, or affiliation. Groups must welcome anyone who wishes to participate, contribute, and support its mission, fostering a respectful and inclusive environment for all members.

Club presidents are required to confirm their adherence to this policy in their annual re-registration form.  We advise you to consider including the bolded language above, customized to your group, on your club’s MyWPI portal.
