How Trips Work

Signup Process:

  1. Active Membership: Trip sign-ups are visible only to active members. To become active, first join the club on myWPI, then complete these items: Anti-Hazing, Release of Liability/Assumption of Risk and Indemnification, and Concussion Training. Submit screenshots through the Active Membership form to become an active member.
  2. Announcement: We (the club execs) will announce the date, location, price, and signup time for a trip over Slack and email several days ahead of the signup time.
  3. Signup: At the announced time, we will share the signup form on Slack and by email. Signups will be through myWPI, with payment due at signup. Signups are first-come, first-serve and visible only to active members. If you do not get a spot, you will be placed on the waitlist, with no payment required. Once promoted from the waitlist, myWPI will notify you by email. Promoted members have 24 hours to purchase before the spot is offered to the next person.
  4. Travel Form: We'll make a private Slack channel with everyone who got a spot. There, we'll ask you to fill out the Club Sports Travel Waiver Form (unlike the other required forms, this form must be completed specifically for each trip).
  5. Form Verification: We will confirm with Club Sports that everyone who has signed up has completed the forms required for active membership. If you are notified that your forms need revision, it is up to you to make sure the necessary changes are made.
  6. Ticket Redemption: For some mountains, you will be sent a voucher code and instructions to redeem your lift ticket on the mountain's website after we have received your forms.
  7. If you can't go anymore: If at any point you find out that you can no longer go on the trip, please let the execs know as soon as possible so we can have someone from the waitlist take your spot.
  8. Refunds: We will announce a refund date that will be roughly a week before the date of the trip. If you can't go on the trip and would like a refund, please contact our Treasurer before the refund date. No refunds will be made after the refund date.
  9. Trip Schedule and Final Details: 1-2 days before the trip, we'll post some useful information about the mountain we'll be visiting, such as expected weather and where to find the conditions report, trail map, and rental gear. We'll also share a list of what to bring and confirm the expected schedule and meeting times for the trip, and emergency contact numbers for the execs and the ski patrol should there be an emergency during the trip.

IMPORTANT: As of C-term 2026, we are requiring that everyone who goes on a trip MUST take the bus to and from the mountain, i.e. you cannot drive yourself. This is so that everyone has a guaranteed method of transportation back to WPI in the event of an injury. Thank you for your understanding!

On The Day Of The Trip:

  1. Meeting Point: We ask that you arrive at the meeting point 15 minutes before the scheduled bus departure time. The typical meeting point is the bus circle by the Bartlett Center admissions building and the Beech Tree (NOT the bus circle by the Rec Center and rooftop field!!)
  2. Loading Gear: Skis, poles, snowboards and boot bags get loaded in the bus's storage compartments.
  3. Attendance: Once everyone's on the bus, the execs will take attendance. If you are absent, we'll try to contact you, but we won't wait more than 5 minutes past the scheduled departure time.
  4. Bus drive: Sit back and relax during the trip to the mountain. Depending on the length of the drive, we may make a short stop at a rest stop so you can use the restroom, stretch out or buy snacks.
  5. Arrival and Ticket Pickup: Once we arrive at the mountain, we'll go over the time when we'll meet back at the bus, as well as any final reminders. The execs will usually hand out the lift tickets, or you will pick your ticket up from an automated dispenser. You can leave belongings on the bus but you may not be able to go back to the bus until the end of the day.
  6. Hit the Slopes: For most of the day, you're free to do whatever you want, provided you follow all the rules and regulations of the mountain. For lunch, food can be purchased at the base lodges, but most mountains do not accept cash payment so plan accordingly. If you prefer, you can also bring your own lunch with you.
  7. Emergencies: If you are injured or involved in an emergency, contact the ski patrol of the mountain. Once the situation is under control, please contact club execs to make them aware of the situation.
  8. Regrouping at the bus: Please return to the bus by the designated time, and make sure you give yourself enough time to change out of your gear. At larger mountains, make sure you head back to the same base lodge/parking lot where the bus dropped us off! We will take attendance again to make sure we don't leave anybody behind.
  9. Return to WPI: The bus drives back to WPI. Again, we may make a quick stop depending on the length of the drive.
  10. Wrap-up: Once we're back on campus, you're free to head home! Please remember to take all your belongings with you.
